Job Summary:

Under the direction of the management team for RWJBH Corporate Care/Employee Health Services, the Corporate Care Administrative Assistant is responsible for providing clerical support to the Regional Operations Managers, Corporate Care.

Essential Functions:

  • Manage clinic staffing and staff schedules -Ensures the schedule for the next business day is printed and all charts are pulled to include encounter form from Agility for each chart.
  • Reviews reconciliation report from Agility on a daily basis and make corrections as needed.
  • Maintain provider schedules in Agility; Logs all clients in when they present to the lobby.
  • Orders all supplies for the department
  • Answers phones in a timely manner and ensures all caller questions are resolved.
  • Acts as the liaison between CC and the HR department regarding new hires and transfers.
  • Files and maintains filing of all charts in the department.
  • Reviews ED report daily to identify work related injuries and make contact for follow up appointment with CC.
  • Ensures all protocols are entered into Agility accurately.
  • Provides assistance to the Operations Managers to organize meetings and provide clerical assistance as needed.
  • Scans all documentation from charts into Agility
  • Responsible to cover Comp Specialist in their absence
  • Process all payments received at the time of service per policy -Performs other duties as assigned.

Job Requirements:

  • High school diploma required; associate's degree or higher in business, science or other related discipline.
  • Possesses outstanding interpersonal skills, including excellent written and verbal skills.
  • Demonstrates ability to use persuasive communication, leadership, and relationship-building.
  • Demonstrates good organizational skills in the preparation of daily work schedules and the assignment of duties and responsibilities.
  • Ability to effectively work with and through physicians, subordinates, customers, and other personnel in a cooperative, collaborative manner in order to improve provider and/or client satisfaction.
  • Ability to efficiently and effectively manage multiple tasks.
  • Ability to work in a fast paced, client service oriented environment.
  • Demonstrates ability to promote quality improvement through development and maintenance of standards.
  • Ability to maintain professional conduct in all work-related and/or emergent situations.
