Job Overview:

The Assistant Director of the Pre-Access Service Center will be responsible for maintaining effective and efficient operations of all workflows that relate to scheduling, pre-registration and pre-certification for the RWJ Health System.

Qualifications:

Required:

  • Minimum 5 years experience as a manager in a relevant patient access role (scheduling, pre-certification, pre-registration) in a large academic medical center required

Preferred:

  • Bachelor's Degree preferred
  • Real time prior authorization automation experience a plus

Essential Functions:

  • Performs daily operational management of all pre-access function (pre-registration, pre-certification and scheduling) for the RWJ Health System
  • Oversees the scheduling system to ensure optimal workflow for the schedulers and the ancillary departments we schedule. Ensures that scheduling procedures support revenue collection as well as the operational success of the ancillary departments
  • Creates and develops front-end cash collection process that utilizes the payment estimator tool to communicate and collect patient liability pre-visit to meet department goals for collections
  • Works collaboratively with IS to ensure that the scheduling procedures support proper visit creation in the ADT system
  • Adjusts work flows to minimize denials, including ensuring that pre-registrations are done in a timely manner to allow sufficient time to obtain pre-certifications and processing notification of admissions
  • Communicates effectively with employees on what their responsibilities are within their job function. Assures that employees understand their performance standards. Eliminates redundancy in work flows between pre-registration and pre-registration
  • Directs the department workflows within the Pre-Access Department to obtain maximum efficiency and resource utilization. Achieves a productivity index of 100%. Restructures job functions to maximize staff productivity indicators and minimize the use of overtime
  • Oversees the development of new employees as well as existing staff. Creates training material for new employees, ongoing training material for current work flow procedures and ensures that staff maintains their competencies
  • Develops and deploys customer service training, scripts and initiatives within Patient Access that support the hospital initiatives and are targeted at areas of opportunity based on data

  • Identifies key service metrics and targets for continual improvement in customer satisfaction including average queue time, average call abandoned time and service level percentage. Achieves departmental goals on these metrics. Maintains ongoing evaluation of call to assure that service expectations are met through an objective scoring system that is incorporated into each agent s yearly performance evaluation
  • Ensures that pre-access service output integrates with hospital based operations of the Access Management Department
  • Provides a mechanism to ensure quality service to the ancillary departments and maintains customer service agreements with all internal customers
