The compensation offered to the candidate selected for the position will depend on several factors, including the candidate's educational background, skills and professional experience.

Job Overview:

The Office Assistant will support the Vice President of the department as needed. The office assistant supports functions to clinical staff, reimbursement staff, and leadership as needed.

Qualifications:

Required:

  • HS diploma or GED equivalent
  • Successful completion of all orientation programs.
  • Working knowledge of Word & Excel.

Scheduling Requirements:

  • Full-Time, Salaried position– 37.5 hours a week
  • On-site in South Plainfield

Essential Functions:

  • Must be customer service oriented.
  • Scans and assigns paperwork including labs as results/paperwork comes in.
  • Answers phone and directs calls to appropriate personnel.
  • Arrives to work on time.
  • Assists Vice President and other management when needed.
  • Assures postage meter is loaded and programmed with appropriate postage.
  • Checks in daily with ISP answering service with on-call staffing information.
  • Files all patient documentation in appropriate charts.
  • Mails out orders/plans of treatment/assorted paperwork as needed to be signed by patients or physicians.
  • Handles all request from outside for chart copies, following HIPAA guidelines, collects payment.
  • Operates and maintains office equipment.
  • Order all appropriate supplies for office equipment.
  • Perform expediting, problem solving and service support to patients and professional staff.
  • Properly codes all Accounts Payable invoices, submits to AP.
  • Processes all check requests.
  • Receive and review daily assignments, organize daily work pattern to include routine and non-routine duties.
  • Prioritize work, provide prompt and efficient service.
  • Scans in delivery ticket and signed physician orders into CPR pharmacy software.
  • Sorts the mail and distributes it accordingly.
  • Understands and adheres to the company policy and requirements.
  • Understands and participates on different committees or plans.
  • Willing to be cross trained to work or assist in other areas.
  • Helps co-workers when appropriate.
  • Willingness and flexible to work alternating work schedules on short notice.
  • Will support management and do what is asked.
  • Provides a compassionate and supportive environment with prompt and consistent service.
  • Adheres to patient rights: provides for the confidential treatment of all communications and records.
  • Demonstrates professionalism with families, visitors, physicians, co-workers and supervisors.
  • Supports teamwork by cooperative problem solving through participation in meetings, projects, etc.
  • Utilizes principles of continuous quality improvement in all work situations to assess, measure and improve organizational and department functions.
  • Organizes work sets priorities with a minimum of supervision and seeks guidance as appropriate.
  • Makes decisions that are timely and consistent with department, objectives, policies and procedures.
  • Participates in ongoing education as required.
