Job Overview:
As the Executive Assistant to the Chief of Staff, you are the central nervous system of the executive suite.Your mission is to maximize the efficiency, reach, and impact of the CoS as they execute the President & CEOs strategic vision.
The ideal candidate will excel in logistics, time management and be a discreet confidant who can anticipate needs before they are even voiced. You possess high emotional intelligence, agility, and ability to 'manage up' in a fast-paced corporate environment. You are systems-thinker, proactive and take initiative. You are calm and professional in a fast-paced environment where priorities change rapidly. You will work closely and in tandem with the Executive Assistant to the President & CEO, coordinating your own work and time off schedules to ensure there is no lapse in coverage for both the President & CEO as well as the Chief of Staff. It is expected that you will be available in off hours and will have internet access to complete tasks on short notice in the scenario edits or updates to schedules need to be made outside the regular work day.
Qualifications:
Required:
- 7+ years of experience as an Executive Assistant, with at least 3 years supporting C-Suite or high-level government/political officials
- Exceptional writing, editing, and verbal communication skills,
- Eagerness to learn new things and adapt with a fast-paced organization,
- Advanced knowledge of Microsoft Office Suite -Word, Excel, PowerPoinor work outside standard business hours during peak periods or executive travel
Preferred:
- Bachelors degree in Business Administration, Communications, or a related field preferred
Essential Functions:
Strategic Calendar & Workflow Orchestration
- Manages the daily operations of the Office of the CoS, including complex calendars, inbox management, and prioritizing tasks ensuring priority alignment with the CEOs goals
- Provide backup coverage of scheduling for the President and CEO
- Serve as the primary point of contact for internal and external stakeholders, tactfully vetting requests and protecting the leadership team s 'deep work' time
- Coordinate high-stakes leadership meetings, board sessions, and town halls
- This includes working with CoS to prepare agendas, capture high-level action items, and ensuring follow-through
- Affords daily support to the Pres/CEO and his office staff
- Must support and provide coverage for the Executive Assistant to the Pres/CEO daily and during any absences
Briefing & Document Governance
- Maintains confidential records, corporate files, and ensures compliance with company policies
- Working with members of the Office of CoS, assemble briefing binders and daily 'prep packs' for meetings and events
- Prepare high-level emails, memos, and presentations
- Make edits to documents on short timelines with precision and flexibility
- Utilize a structured file share system
- Monitor the progress of strategic initiatives led by the CoS, flagging potential delays or roadblocks before they become crises
- Executes special projects on behalf of the CoS, conducts research, and prepares briefings, reports, and presentations
High-Velocity Logistics
- Coordinate a variety of travel arrangements including flights, lodging, ground transport, and visa requirements
- Manage departmental expenses and reconciliations with meticulous accuracy
- Participate in planning and execution of complex meetings and retreats including full day set up and day of coordination with the team
Relationship & Culture Stewardship
- Build strong, trust-based relationships with other EAs, Department Heads, and Board members to facilitate seamless communication
- Handle highly sensitive, confidential information regarding organizational strategy and personnel with absolute integrity
- Acts as the primary point of contact between the CoS/CEO and internal/external stakeholders, including board members and senior executives
