Job Overview:

The Administrative Assistant is responsible for performing secretarial and general office duties for Environmental Services.

Qualifications:

Required:

  • High School diploma or equivalency
  • Successful completion of general orientation and department specific orientation

Preferred:

  • College Degree

Scheduling Requirements:

  • Shift: Day
  • Status: Full Time
  • Hours: 37.5 Hours
  • Time: 9:00am-5:00pm

Essential Functions:

  • Performs secretarial and general office duties for Environmental Services,
  • Receives and appropriately directs all phone calls,
  • Organizes and maintains files,
  • Completes statistical information as directed,
  • Is responsible for reporting identified safety issues such as hazardous environments (i,e, damaged floors/walls/ceiling tiles/unsecured areas) and medical errors, etc.,
  • Assembles process improvement data and formats for interpretation by the management team,
  • Communicates effectively with shift supervisors regarding staffing, bed status, and department priorities,
  • Coordinates conference room scheduling set up with room scheduler and EVS staff members,
  • Coordinates employee sign-in sheets with shift supervisors,
  • Inventories and processes product requisitions and supplies according to existing inventory levels within budget,
  • Maintains current department rosters and staff educational files,
  • Manages department employee scheduling, including creating and maintaining weekly schedules, PTO requests, and biweekly payroll processing.
  • Manages the calendar for the department director, including scheduling meetings and interviews, and keeps the appointment calendar current.
  • Prepares all quality assurance reports in required formats,
