Job Overview:
The Executive Assistant Senior assists senior management in Quality Resource Services by efficiently managing the office of the senior manager(s) to whom they are assigned.
Performs all executive assistant office functions; answers phones quickly, taking accurate messages, authors correspondence, keeps calendars, maintains files, makes travel arrangements, completes necessary MMC forms, sets up own office system, prepares documents for high-level meetings, and takes minutes as required.
Qualifications:
Required:
- HS Diploma
- Proficiency in Microsoft Office
- Competence in calendar management, travel arrangements, and administrative support systems
Preferred:
- Five years executive administrative support within Senior Vice President level office or above
- Previous hospital experience is strongly preferred
- Business school
Essential Functions:
- Ability to cover additional Administrator s offices in the absence of support personnel
- Ability to handle multiple priorities at one time and work well under pressure
- Ability to meet tight deadlines and focus on outcomes to achieve positive work flow
- Ability to prioritize work independently with minimum supervision
- Ability to problem solve and follow-through issues to completion
- Ability to take on additional jobs, responsible to meet deadlines as assigned by Coordinator of Executive Staff
- Adheres to department goals which are in keeping with the hospital vision and goals,
- Assists department members whenever necessary to assure that deadlines are met
- Is responsible for Time and Attendance for direct reports to Vice Presidents
- Creates schedules, edits punches for PTO
- Participates in team-oriented process within the department and assists other support personnel whenever needed
