Setting the Stage
At RWJBarnabas Health, every patient interaction begins with compassionate, coordinated care. As a Patient Services Representative (PSR) within our Clinical Practice Management team, you'll serve as the welcoming voice and trusted point of contact for patients receiving care across our ambulatory practices.
In this role, you'll help patients navigate their healthcare journey by coordinating appointments, verifying information, and ensuring they have the support they need before, during, and after their visits. Whether assisting patients over the phone or in person, you'll play a critical role in creating an exceptional patient experience while supporting providers and clinical teams in delivering high-quality care.
A Typical Day
As a Patient Services Representative, you'll be the connection between patients, providers, and care teams by ensuring appointments and information are coordinated accurately and efficiently. Your responsibilities may include:
- Scheduling new and follow-up appointments across multiple specialties and practice locations.
- Coordinating referrals and ensuring authorizations and required documentation are completed prior to patient visits.
- Verifying and updating demographic, insurance, and registration information to support accurate patient records.
- Serving as the primary point of contact for patients, families, referring providers, and internal clinical teams.
- Answering incoming telephone calls and responding to scheduling requests with professionalism, compassion, and efficiency.
- Contacting patients regarding upcoming appointments, reminders, rescheduling needs, and missed visits to promote continuity of care.
- Collaborating with physicians, nurses, and interdisciplinary teams to ensure timely access to care.
- Accurately documenting patient interactions while maintaining confidentiality and HIPAA compliance.
- Meeting departmental quality, scheduling, and customer service expectations in a fast-paced healthcare environment.

To Be Considered
Qualified candidates will possess:
- Zero (0) to three (3) years of healthcare, medical office, customer service, or related experience.
- Previous scheduling or patient registration experience preferred.
- Knowledge of medical terminology preferred.
- Strong verbal and written communication skills.
- Excellent interpersonal and customer service skills with the ability to interact compassionately with diverse patient populations.
- Proficiency with Microsoft Office applications and the ability to learn Electronic Medical Record (EMR) systems.
- Strong attention to detail, organizational skills, and the ability to multitask in a fast-paced environment.
- Bilingual language skills are a plus.
