Clerical Coordinator (Pharmacy Buyer) – RWJBarnabas Health
At RWJBarnabas Health, the Clerical Coordinator (Pharmacy Buyer) plays a critical role in patient care and operational excellence. Operating with a high level of independence, they perform complex procurement and inventory management procedures according to strict medical, legal, and professional pharmacy standards. They are responsible for exercising professional judgment during ordering cycles, ensuring accurate product availability, delivering age-specific care support, and maintaining seamless workflow collaboration within the pharmacy department.
A typical day for a Clerical Coordinator (Pharmacy Buyer) may include:
- Prepares purchase orders for supplies, materials, and pharmaceuticals, clearly explains the process, and positions inventory for optimal stock availability
- Operates procurement software, Peoplesoft systems, computers, and medical billing applications necessary to ensure a safe and accurate diagnostic and therapeutic procedure support
- Assist pharmacists and department managers during inventory counts and budget tracking by auditing, circulating, or monitoring purchasing activities
- Sets up purchasing files and other essential records following corporate policy, handles invoices, and reviews discrepancies to assist with financial reconciliation
- Calibrates, maintains, and adjusts medication par levels, and reports product recalls or other problems immediately to the appropriate support or departmental leadership
- Monitors and calls out stock variances, alerting the pharmacy management team immediately to any changes in patient condition requirements or shortages
- Utilizes inventory and Excel systems to enter accurately identified and labeled data of products, and retrieves old invoices and records when necessary
- Demonstrates working knowledge of pharmacy protocols including calculations, generic-trade name relationships, safety, and IV admixture properties
- Collaborates professionally in a hospital pharmacy environment, working in close cooperation with vendors, clinicians, and other technical staff
- Demonstrates initiative, flexibility, and the ability to assume multi-task duties and function under significant time pressures

To be considered for this Clerical Coordinator (Pharmacy Buyer) opportunity:
- Graduate with a High School diploma or equivalent; an Associate's degree is preferred
- Problem-solving, critical thinking, decisive judgment, collaboration, and the ability to work with minimal supervision
- Must hold and maintain active registration as a Pharmacy Technician with the New Jersey Board of Pharmacy
- Pharmacy Technician Certification Board (PTCB) certification is required within 6 months of hire
- Minimum of 2 years of hospital pharmacy experience is highly preferred
- Advanced proficiency using Excel to generate monthly reports, track budget variances, and manage data extraction
- Practical experience utilizing Peoplesoft software to manage requisitions and process corporate invoices
- Demonstrated knowledge of pharmaceutical conversions, abbreviations, symbols, and chemical formulas
