A Typical Day
The Patient Access Representative II position plays a key role in the health system in providing excellent customer service while ensuring timely throughput and capturing all necessary data. The Patient Access Representative II is responsible to greet all patients in a timely and friendly manner. A core function of this position is to ensure that all customers, external and internal, are treated with the highest level of respect. The Patient Access Representative II will determine registration status and financial clearance for patients as well as determine patient arrival location based on scheduled services. The Patient Access Representative II will monitor patient throughput and assist patients with the Welcome IPAD/Kiosk process. The Patient Access Representative II will assist with the pre-registration and financial clearance process. The Patient Access Representative II will demonstrate positive customer services relations to all patients, visitors and staff.
The Patient Access Rep II is an advanced role responsible for complex account resolution through work queue management and supports leadership in process improvement efforts across the revenue cycle. In addition to all responsibilities of the Patient Access Rep I, this position serves as a resource for team members, assists in system upgrades and workflow enhancements, and plays a key role in training and mentoring new staff.
- Provides excellent customer service to all patients, colleagues and other external and internal customers
- Utilizes the electronic medical record (EMR) system to determine and expedite patient throughput and the arrival process
- Verifies patient appointment, service location and provides clear direction to patients and visitors
- Ambassador of the IPAD & Kiosks Welcome process
- Coordinates and collaborates with the service department for scheduled and add-on visits
- Demonstrates proficiency in the entire pre-registration, registration, and encounter clearance processes
- Meets all requirements and responsibilities of the Patient Access Representative 1 position.
- Interviews patients, family members and other responsible parties to gather pertinent demographic and financial information, for pre-registration and/or registration based on assigned work
- Obtains insurance information and initiates the verification and authorization process with providers, central access and service department
- Completes verification of coverage of all insurances and financial clearance
- Ensures all required forms are provided, reviewed, properly explained and signed by the patient or an approved person on behalf of the patient
- May perform other duties as assigned or directed by management

- Meets and exceeds department goals including accuracy, point of service collections and productivity
- Informs patient of financial responsibility and collects appropriate dollar amount for services to be rendered; issue receipt and completes daily reconciliation of all cash collections
- Responsible to review work queues daily and take the required actions to update the information, correct errors and ensure that the account is accurate for billing
- Maintains departmental standards of efficiency, accuracy and productivity
- Complies with organizational, facility, and departmental policies
- Maintains department productivity by asking for additional duties when patient flow permits
- Participates in creating a positive environment for patient and colleague satisfaction.
- Demonstrates initiative and motivation in role; proactively identifies and resolves problems in an appropriate manner and escalates issues to leadership when necessary
- Reflects commitment to building a supportive work environment and maintains a positive attitude
- Works closely and professionally with nursing and ancillary departments to foster a team environment
- Participate in training all training both formally assigned, newsletters, job aids, in services, staff meetings, huddles and facility assigned trainings.
To Be Considered
Required:
- High School Diploma
Preferred:
- Minimum of 1 year Hospital Based Patient Access experience
- Customer service experience
- Patient Access experience
- Medical terminology experience
