Job Overview:
The Lead PAS Outpatient Site Scheduling Specialist is a critical role at the local level in ensuring patients and families receive optimal service and timely access to care. Provides onsite scheduling and manages waitlist for multiple disciplines at the local level. Responsible for optimizing booked rates by collaborating directly with onsite leaders and clinical staff to coordinate schedules. Assists the PAS Team Site Manager in the over site of ensuring staff are providing exemplary customer service utilizing the Service Excellence Standards set forth by the organization while interacting with all customers internal and external.
As a Lead Patient Access Rep, a typical day might include:
- Supports the PAS Team Site Manager in the area of orienting new staff and mentoring current staff related to customer service skills.
- Assists in training support staff on scheduling related tasks on as needed basis.
- Maintains assigned scheduling primary job function which includes obtaining accurate clinical information in order to make a sound judgment as to which services are required for the appointments.
- Obtains intake information, including demographics, insurance information, referrals, and scripts timely and accurately,
- Schedules appropriate appointments based on reason for referral and intake information.
- Schedules follow up therapy first treatment appointments when needed.

- Can adhere to departmental quality standards for scheduling appointments and interacting with customers either in person or via the telephone Interacts with both internal and external customers adhering to the Service Excellence Standards.
- Assists with ensuring that staff embrace and integrate Service Excellence standards into every interaction with patients, families, and internal customers when scheduling appointments.
- Work closely onsite with clinicians to manage and optimize access to care for patients and families to achieve optimal booked rates.
- Ensures accuracy of intake information, inclusive of demographics, insurance information, referrals, and prescriptions, if needed for services line.
To be considered for this opportunity, you must meet the following criteria:
- High school degree or equivalent
- Good verbal and written English communication skills.
- Ability to travel to various sites within region as needed.
- Proficiency in all therapy and medical scheduling functions and processes.
- Proficiency with internet based technologies including Microsoft office, data entry, and navigation of multiple applications.
- Sensitive to patient confidentiality, and maintains HIPAA compliance.
- Experience with electronic medical records preferred.
- 1 Year job experience preferred within department.
