The compensation offered to the candidate selected for the position will depend on several factors, including the candidate's educational background, skills and professional experience.

Great operations create the foundation for great care. As an Office Manager supporting the School Based Therapies department, you'll keep the day-to-day administrative functions organized, accurate, and aligned with department goals. You'll work closely with staff, internal departments, school districts, and private schools to coordinate resources, manage data, support financial reporting, and keep important administrative processes moving. As an Office Manager, a typical day might include the following:

  • Manage, inventory, and order department resources, including Supply Chain, PCard, daily mail, and office supplies.
  • Create and manage revenue and expense reports and assist with additional financial reporting in partnership with department leadership and the CSH Finance team.
  • Manage and communicate volume and productivity reports with School Services leadership and CSH Finance.
  • Maintain department office space in accordance with CSH and Joint Commission requirements, including work orders, ServiceNow requests, office technology, inventory, and supplies.
  • Coordinate staff credentialing and respond to district and CSH Human Resources requests related to credentials, school certificates, licenses, and renewals.
  • Assist new staff and hiring managers with onboarding activities, including initial IT setup, email, drives, laptops, and other resources.
  • Coordinate and manage required school agreements and related documentation, including contracts and certificates of insurance.
  • Coordinate and communicate NJDOE-approved clinic and agency requirements, including staff updates and related correspondence.
  • Manage the student referral tracking mailbox, spreadsheets, and associated timelines.
  • Maintain department records in accordance with organizational policies.
  • Coordinate staff and senior leadership meetings and manage the department calendar, including agendas, meeting materials, attendance, and minutes.
  • Work closely with staff, internal departments, school districts, and private school partners to support department operations and customer service needs.
  • Review and cross-check data for accuracy, identify errors or inconsistencies, and recommend opportunities to improve data management and efficiency.
  • Learn and effectively use RWJBH and CSH software systems, including Supply Chain, Strata, Payroll, eTherapyDocs, and other department systems.
  • Perform other duties as assigned or directed by management.

  • Schedule: Day shift, Monday through Friday 8:00am-4:30pm, Full-Time 40 hours per week

To be considered for this role, you must have a High School Diploma or Equivalent and at least 3 years of relevant administrative experience. A bachelor’s degree is preferred. Candidates must have strong computer and data management skills, including proficiency with Microsoft Office and Excel, and the ability to learn and effectively use RWJBH and CSH software systems. Strong organizational, problem-solving, and communication, skills are required, along with exceptional attention to detail and the ability to manage and cross-check large amounts of data for accuracy. Candidates must be able to work independently, maintain confidentiality, manage multiple priorities, and identify opportunities to improve processes and data management.
