Job Summary:

The Patient Access Coordinator opening is the first face for a patient entering one of our RWJBH facilities! The Patient Access Coordinator is responsible for patient scheduling, registration, insurance verification, authorization management, front desk operations, and coordination of administrative functions supporting the Wound Care and Hyperbaric Medicine Program.

This position serves as the primary point of contact for patients and referral sources while ensuring accurate patient records, regulatory compliance, efficient patient flow, and exceptional customer service.

As a Patient Access Representative, a typical day might include: 

  • Schedule wound care and hyperbaric medicine patient appointments utilizing the electronic medical record and scheduling systems.
  • Coordinate new patient referrals, consultations, follow-up appointments, HBO evaluations, and treatment schedules.
  • Verify patient demographic, insurance, referral, authorization, and registration information prior to appointments.
  • Obtain and maintain required authorizations, referrals, and payer documentation to support timely patient care and reimbursement.
  • Serve as the primary receptionist for the department by greeting patients, visitors, and referral sources in a professional and courteous manner.
  • Answer incoming telephone calls, manage voicemail communications, and route inquiries to appropriate clinical or administrative personnel.
  • Monitor daily schedules, cancellations, no-shows, and missed appointments while conducting timely patient follow-up and rescheduling activities.
  • Coordinate with physicians, referral sources, case managers, home care agencies, and hospital departments to facilitate patient access and continuity of care.
  • Scan, upload, and maintain patient records, orders, authorizations, and supporting documentation within the electronic medical record.
  • Perform charge reconciliation, registration audits, work queue management, and other administrative tasks supporting revenue cycle integrity.
  • Assist leadership in monitoring patient census, provider schedules, treatment capacity, and clinic utilization to optimize operational performance.
  • May perform other duties as assigned or directed by management.

To be considered for this opportunity, you must meet the following requirements:  

  • You have a High School Diploma or equivalent.
  • Minimum two years of healthcare scheduling, registration, patient access, or medical office experience.
  • You have developed a strong understanding of healthcare operations and medical terminology.
  • Experience with wound care, hyperbaric medicine, outpatient services, or hospital-based clinics preferred.
  • EPIC experience preferred.
  • Knowledge of Medicare, Medicaid, and commercial insurance authorization processes preferred.
