Planned Maintenance Specialist – RWJBarnabas Health

At RWJBarnabas Health, the Planned Maintenance Specialist plays a critical role in patient care and operational excellence. Operating with a high level of independence, they perform complex preventive maintenance coordination and compliance tracking procedures according to strict medical, legal, and professional imaging standards. They are responsible for exercising professional judgment during scheduling windows, ensuring accurate record-keeping, delivering trial-specific compliance support, and maintaining seamless workflow collaboration within the multidisciplinary imaging department.

A typical day for a Planned Maintenance Specialist may include:

  • Prepares preventive maintenance schedules for complex imaging equipment, clearly explains the process, and positions service events to minimize disruption to patient workflows
  • Operates maintenance tracking systems, CMMS software, computers, and database applications necessary to ensure a safe and accurate equipment documentation procedure
  • Assist vendors and biomedical engineering teams during system inspections and equipment servicing by coordinating, circulating, or monitoring visit activities
  • Sets up equipment logs and essential compliance files following The Joint Commission guidelines, handles vendor invoices, and reviews contract documentation to assist with administrative management
  • Calibrates, maintains, and adjusts maintenance tracking systems, and reports overdue maintenance items or equipment failures immediately to department leadership
  • Monitors and calls out equipment downtime metrics, alerting the department staff immediately to any changes in system operational status
  • Utilizes inventory software and Excel systems to enter accurately identified and verified data of serial numbers, and retrieves old maintenance histories when necessary
  • Demonstrates working knowledge of scheduling protocols including compliance readiness, equipment decommissioning, safety, and follow-up validation techniques
  • Collaborates professionally in a hospital or outpatient imaging environment, working in close cooperation with leadership, clinical staff, and technical vendors
  • Demonstrates initiative, flexibility, and the ability to assume multi-task duties and function under significant time pressures

To be considered for this Planned Maintenance Specialist opportunity:

  • Graduate with an Associate's degree or an equivalent combination of relevant technical and administrative experience
  • Problem-solving, critical thinking, decisive judgment, collaboration, and the ability to work with minimal supervision
  • Prior administrative or coordination experience in scheduling, facility operations, or health system support
  • Strong software proficiency using Microsoft Excel and Microsoft Outlook for report generation and data tracking
  • Available to work a flexible, part-time / per diem schedule based on fluctuating departmental demands
  • Willingness and flexibility to travel occasionally between multiple RWJBarnabas Health facilities as required
  • Prior background working directly within healthcare administration, biomedical engineering, or imaging services is preferred
  • Practical experience navigating computerized maintenance management systems (CMMS) or technical equipment logs is preferred
  • Demonstrated comfort handling time-sensitive operational tasks in a fast-paced, clinical support environment is preferred
